Crew lodging for contractors who level bids in Procore

You don't take the first number a subcontractor gives you. Run crew lodging the same way. A bid leveling view for hotels near your job, at no cost.

If you run bids in Procore, you already know how this should work. You send the same scope to every sub, put the numbers side by side, ask the high ones to sharpen their pencils, and award.

Most companies don’t book crew lodging that way. Someone calls the hotel nearest the site, takes the rate they’re quoted, and puts it on a card. Twelve weeks of four rooms is a five-figure line on the job cost report, and nobody leveled it.

Lodging, leveled

We run crew lodging as a bid. You send us the job: the site address, the rooms and the dates. Every hotel within driving distance gets the same written request, which covers:

  • the rooms and dates, with room changes as the crew rotates
  • a rate at or under the GSA per diem for that ZIP
  • truck and trailer parking, guest laundry, breakfast by 5:30 am, a kitchenette or a microwave and fridge
  • direct billing to your company

The bids come back in a leveling view you’ll recognize: hotels as columns, the scope as rows, revised rates flagged. Rate is only one row: distance to the site, parking, laundry and breakfast count too, so the bid you award isn’t always the cheapest. Hotels see their rank and can come down before the deadline. Watch a sample bid on a four-room job.

You award, the crew checks in, and you get the bids in a spreadsheet for the job file.

What it costs

Nothing. The hotel you award pays us a referral commission, and the rate you see is the rate you pay.
